The IM4 team is able to import data from a school's current student information system (SIS). What is required is an export in a CSV or Spreadsheet format, which can then be used to map an import into the IM4 application. Each import is currently being done on a case-by-case basis, as schools use a variety of different student information systems.
Here all of the specific import options we offer:
1. To import your school structure, we request a file in the following format:
District Name
- High School
-- Grade 9
--- Math (Jones)
--- English (Smith)
-- Grade 10
--- Biology (Patterson)
- Middle School
-- Grade 8
--- Math (Williams)
The idea is just a hierarchy of organization names. The names themselves aren't important, and you can feel free to organize them however it makes sense for your organization. The above examples are a pretty typical setup that we've seen though.
2. To import students, we request a CSV/TSV/Excel file containing the following fields (* fields are required):
unique student ID (*)
first name (*)
last name (*)
middle name
ethnicity
gender
birth date
primary language
secondary language
classrooms/teachers (*, can be comma-separated, semicolon-separated, etc.): These should match the organization names defined in item #1, and must contain only lowest-level items in that hierarchy (i.e. may contain "Biology (Patterson)" from the example above, but may not contain "Grade 9", "Osseo Senior", etc). In order to avoid ambiguity, another format to put them in would be "Osseo Senior > Grade 10 > Biology (Patterson)", just in case there is more than one classroom named "Biology (Patterson)" in the system.
3. To import users/staff, we request a CSV/TSV/Excel file containing the following fields (* fields are required):
email (*)
first name
last name
organizations (*, can be comma-separated, semicolon-separated, etc.): These should match the organization names defined in item #1, but can include items at any level in the hierarchy. See the "classrooms/teachers" item in the student section above for how to avoid ambiguity in organization names.
Once an export has been pulled from the SIS, it can be emailed directly to us or using a secure service such as https://send.tresorit.com/.
